This Privacy Policy describes how Domara ("we," "our," or "us") collects, uses, stores, and protects your personal information when you use our website at domara.rent and all related services, tools, and applications (collectively, the "Service"). By using the Service, you consent to the practices described in this policy.

1. Information We Collect

Account information: When you create an account, we collect your name, email address, phone number, and password. If you sign up using Google OAuth, we receive your name, email, and profile picture from Google.

Property and tenant data: Landlords provide property addresses, unit details, tenant names and contact information, lease terms, rental amounts, and related property management data.

Financial information: We collect payment method details (processed and stored by Stripe and Dwolla, not stored on our servers), transaction records, income and expense data, and receipt images uploaded for AI categorization.

Documents: Lease agreements (AI-generated or uploaded), signed documents, maintenance request photos, and other files you upload to the Service.

Communications: Messages sent through the in-app messaging system between landlords and tenants, and any communications you send to our support team.

Usage data: We automatically collect IP addresses, browser type, device information, pages visited, features used, and interaction patterns to improve the Service.

2. How We Use Your Information

We use your information to: (a) provide, maintain, and improve the Service; (b) process rent payments and subscription billing; (c) generate AI-assisted lease drafts, receipt categorizations, and listing descriptions; (d) facilitate electronic signature collection; (e) send transactional emails (payment confirmations, lease reminders, maintenance updates); (f) provide customer support; (g) detect and prevent fraud, abuse, and security incidents; (h) comply with legal obligations; and (i) send product updates and announcements (which you can opt out of at any time).

3. AI Processing

Domara uses third-party AI services (Anthropic's Claude API) to power features such as lease drafting, receipt categorization, and maintenance request summarization. When you use AI-powered features, relevant data (such as property details for lease drafting or receipt images for categorization) is sent to the AI service provider for processing.

Our AI service provider does not use your data to train their models. AI-processed data is used solely to generate the requested output and is not retained by the AI provider beyond the processing session. We do not sell or share your data with AI providers for any purpose other than delivering the specific feature you requested.

4. How We Share Your Information

We do not sell your personal information to third parties. We share your information only in the following circumstances:

Service providers: We share data with trusted third-party providers that help us operate the Service, including Stripe and Dwolla (payment processing), Supabase (database hosting), Anthropic (AI processing), Resend (email delivery), and Render (application hosting). These providers are contractually obligated to protect your data and use it only for the services they provide to us.

Between landlords and tenants: Certain information is shared between landlords and their tenants as necessary for the landlord-tenant relationship, including names, contact information, lease terms, payment records, and maintenance communications.

Legal requirements: We may disclose your information when required by law, court order, subpoena, or government investigation, or when necessary to protect our rights, safety, or property, or the rights, safety, or property of others.

5. Data Storage and Security

Your data is stored on Supabase infrastructure (built on PostgreSQL) with enterprise-grade security, including encrypted connections (TLS/SSL), row-level security policies, and automatic backups. Payment card data is processed and stored by Stripe and Dwolla and never touches our servers.

We implement industry-standard security measures to protect your information, including secure authentication, encrypted data transmission, and access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription, your account enters read-only mode and your data remains accessible. If you request account deletion, we will delete your personal data within 30 days, except where retention is required by law (such as financial records for tax compliance).

Documents, leases, and financial records may be retained for up to 7 years after account deletion to comply with tax and legal record-keeping requirements. Anonymized and aggregated data that cannot identify you may be retained indefinitely for analytics and product improvement.

7. Your Rights and Choices

You have the right to: (a) access your personal data by downloading it from your account settings or requesting it via email; (b) correct inaccurate information by updating your profile or contacting us; (c) delete your account and personal data by emailing hello@domara.rent; (d) opt out of marketing emails by clicking "unsubscribe" in any marketing email or updating your notification preferences; (e) export your data in a portable format; and (f) withdraw consent for data processing, which may limit your ability to use certain features.

8. Cookies and Tracking

We use essential cookies to maintain your login session and preferences. We may also use analytics cookies to understand how the Service is used and to improve the user experience.

We do not use third-party advertising cookies or sell cookie data to advertisers. You can control cookie settings through your browser preferences, though disabling essential cookies may prevent you from using the Service.

9. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to request deletion of your personal information, the right to opt out of the sale of your personal information (we do not sell personal information), and the right to non-discrimination for exercising your privacy rights. 10. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child under 18, we will promptly delete that information. If you believe a child has provided us with personal information, please contact us at hello@domara.rent.

11. International Data Transfers

The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those of your jurisdiction. By using the Service, you consent to this transfer.

12. Third-Party Links

The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to read the privacy policies of any third-party services you access through the Service.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service at least 30 days before the changes take effect. Your continued use of the Service after the changes take effect constitutes acceptance of the revised policy.
